Fixed class packs (e.g. 5 or 10 classes), credit-based passes for mixed timetables, percentage or fixed-amount discount codes, expiry dates and usage limits. **Memberships** - Turn drop-ins into members. Membership plans bill clients automatically every week, fortnight, 4 weeks or month and are applied to their bookings automatically. Plans can run until cancelled or for a fixed term (e.g. a 12-week course), with members renewing online or renewing automatically unless they opt out. Plans can include unlimited classes, a set number of classes (resetting per day, week, fortnight or month), a credit balance to spend, or membership only (no classes included). Restrict a plan to specific classes or keep it private for invited clients. Members cancel and update their payment card themselves from their account, and get a heads-up the month their card expires. Payments go through your own Stripe account with no extra subscription-billing fees. Built-in reports for active members, monthly recurring revenue and churn. **Automated Waiting Lists** - When a class fills up, bookings close and the waiting list opens automatically. Freed-up spots are offered instantly - no manual effort required. **Automated Emails** - Booking confirmations, configurable reminders, cancellation notices and re-booking nudges - all sent automatically. Emails carry your branding. Pro plan includes fully customisable emails. Timeline: booking confirmed (immediately), class reminder (timing you configure - default 1 hour before), waiting list spot available (as soon as a space opens), pass running out (when 1 class remains). **Recurring Schedules** - Set up weekly recurring schedules once and they run themselves. Run multiple recurring schedules across different locations if needed. **Location Management** - Teach at multiple venues? Add all your locations and assign classes accordingly, so clients always know exactly where to go. **Client Self-Service** - Clients can view, reschedule and cancel their own bookings online. You set the cancellation rules; they handle the admin. --- ## About page (https://heybookme.app/about/) Built for independent studios. By people who get it. HeyBookMe is for the yoga teacher juggling bookings on their phone, the PT whose admin is eating into class time, and the studio owner who just wants it to work. Most booking tools are built for big gyms and franchise chains - powerful, expensive, and full of features a 12-class-a-week pilates studio will never touch. We built HeyBookMe because independent studios deserve something better: genuinely simple, honestly priced, and built around the way real studios work. We're based on the Wirral in the north of England and care about building things that last - tools that studios can rely on, with pricing that doesn't change the moment you grow. **Our values:** Simple by design - If it takes more than a few minutes to set up, we've failed. We remove features rather than add them when they'd get in the way. Honest pricing - No hidden fees, no bait-and-switch tiers. PAYG is free forever. Pro is one flat monthly rate. Built for independence - For the one-person studio and the 20-class-a-week wellness centre. Not the gym chain. HeyBookMe is a UK product - built, hosted and supported in the UK. Sterling pricing, UK-focused support hours, shaped around the needs of UK studios. HeyBookMe is a trading name of Ademti Software Ltd, registered in England & Wales (No. 09426060), based at The Guild, Abbey Street, Carlisle. Key facts: £0 to get started. 14-day free trial on Pro. No lock-in contracts. One flat monthly price. --- ## Company information - **Product name:** HeyBookMe - **Legal name:** Ademti Software Ltd - **Registration:** England & Wales, No. 09426060 - **Address:** The Guild, Abbey Street, Carlisle, CA3 0LU, United Kingdom - **Email:** support@heybookme.app - **Website:** https://heybookme.app - **Support:** https://heybookme.app/support/ - **App dashboard:** https://dash.heybookme.app - **Market:** United Kingdom (international on roadmap) - **Category:** SaaS, business software, fitness and wellness technology - **Target customers:** Independent fitness studios, independent fitness teachers, personal trainers, wellness centres --- ## Support articles (https://heybookme.app/support/) ### Creating a class (https://heybookme.app/support/creating-a-class/) Classes are the core of the HeyBookMe timetable. Each class defines what you're offering - its name, price, and duration - and is then scheduled as one or more sessions that clients can book. **Creating a class:** Go to Classes > New class. Enter the class name, description, price, and duration. Optionally add location, image, category, and class leaders (Pro). Configure rebooking reminders per class. **Scheduling sessions:** After saving the class, add schedules. Recurring schedules (daily, weekly, fortnightly) auto-create sessions in advance. Set capacity, start/end dates, and optional per-schedule location or notes. One-off sessions can also be added. Capacity and price can be overridden per individual session. **Cancelling sessions:** End a recurring schedule from Classes > Schedules. Sessions after the end date with no bookings are cancelled automatically. Sessions with existing bookings prompt a review; customers receive cancellation emails and refunds. --- ### Class categories (https://heybookme.app/support/class-categories/) Categories group classes (e.g. Yoga, Pilates, HIIT) so clients can filter your timetable. Optional - the filter doesn't appear if you don't use categories. A class can belong to multiple categories. **Managing categories:** Go to Settings > Categories to add, rename, reorder (drag and drop), or delete categories. Assign a category when creating or editing a class. --- ### Managing bookings (https://heybookme.app/support/managing-bookings/) The Bookings section shows all client bookings. Filter by class, category, or customer. Each booking shows status, payment method, pass or discount code used, and check-in status. **Manual bookings (Pro only):** Go to Scheduled Classes, find the session, click Add booking, search for or create the customer, and confirm. Client receives a booking confirmation email. **Cancelling a booking:** Open the booking detail, click Cancel booking, confirm. Client receives a cancellation email and is refunded automatically. **Marking attendance:** After a session, open it from Scheduled Classes and toggle each attendee as attended or absent. Supports bulk actions. Feeds into reporting. Clients can manage their own bookings (view, move, cancel) from the hosted booking site or embedded widget, subject to your cancellation cut-off settings. --- ### Managing customers (https://heybookme.app/support/managing-customers/) HeyBookMe creates a customer record automatically on first booking. Search by name or email; sort by name, email, sign-up date, or number of bookings. **Customer profile includes:** contact info, sign-up date, booking count, lifetime value (including membership payments net of refunds), most recent booking; full booking history with status, check-in status, and pass or membership usage; list of all pass purchases with balance and usage; list of current and past memberships with status and next payment date. Email is the unique customer identifier. Customers can update their own name and email from the hosted booking site's My Profile tab. --- ### Pass purchases (https://heybookme.app/support/pass-purchases/) — Pro only Lists all active and expired pass purchases. Filter by pass type or customer. Each entry shows customer details, pass purchased, amount paid, usage, and purchase date. Click any purchase to see a full log of every booking that used the pass. Customers see their remaining balance when booking and receive email updates after each use. Expired passes are deactivated automatically; remaining balance is forfeited. Customers can hold multiple active passes but can only apply one per booking. --- ### Managing memberships (https://heybookme.app/support/membership-subscriptions/) — Pro only All memberships are listed under Customer purchases > Membership subscriptions, with customer, plan, status, price, start date and next payment date. Search by customer name or email; filter by plan and status. The member page shows the current paid period, what the membership includes, its duration (until cancelled or the fixed term, with end date, automatic renewal status and renewal email date), usage history (each covered booking and how much it paid), payment history including refunds, the discount code used at sign-up, actions to renew for another term, turn automatic renewal off or back on, and cancel, and a per-member price change form. Each customer profile also has a Memberships tab, and each plan shows its active member count. **Payments:** on each payment date the member's saved card is charged and the membership rolls on to the next billing period. Credit balances and "per billing cycle" allowances reset at that point; per-day/week/fortnight/month allowances keep their own join-date schedule. Members get a payment reminder email 2 days before (not sent when no payment will follow) and a receipt after. No payment is taken at the end of a fixed term. Monthly memberships that started on the 29th-31st are charged on the last day of shorter months. Charges go through the organisation's own Stripe account with no HeyBookMe fees. **Failed payments:** a failed payment ends the membership immediately - no retries, no grace period. The member is emailed with a link to sign up again, which creates a new membership from that day. Staff cannot reinstate it. Existing bookings are unaffected. **Fixed-term renewal:** set organisation-wide under Settings > Memberships, stored on each membership at sign-up. "Expire unless renewed" (default): from the plan's renewal email lead time the member can renew with one click from the "Membership ending soon" email or My memberships; staff can renew from the member page at any time; otherwise it expires at the end of the term with no further payment. "Renew automatically": the member is emailed with an opt-out link, and at the end of the term the next term starts and its first payment is taken; members or staff can turn automatic renewal off and back on until the term ends. Renewing adds another term of the same length at the current price; nothing is charged at renewal. **Cancelling:** by the member from My memberships, or by staff from the member page. Open-ended memberships stop at the end of the current billing period. Fixed-term memberships cancelled by the member run to the end of the term and the remaining payments are still taken; staff can choose end of billing period or end of term, and can bring a scheduled cancellation forward ("End this membership sooner") but not push it back. Automatically renewing memberships have no member Cancel button - members turn off automatic renewal instead. The membership stays active and covers bookings until it ends, with a "Cancelling" badge. Member and organisation are emailed. **Refunds:** refund from the Stripe dashboard as normal; recorded in HeyBookMe and lifetime value. Refunding does not cancel the membership. **Per-member price change:** minimum 30 days' notice; applies from the first payment on or after the effective date; member is emailed and sees the pending price under My memberships. **Reports:** a Membership reports card under Reports gives active member count over time and MRR (weekly/fortnightly/4-weekly normalised to monthly, with "scheduled to cancel" broken out), membership usage (covered bookings over time), and cancellations and expiries over time (fixed terms that ended without renewal counted separately), with totals by plan. Membership revenue is included in revenue reports, with a filter for all memberships or a single plan. Members can hold multiple memberships, including two of the same plan. **Saved card:** each client has one saved card per organisation, shared by all their memberships there and used for every payment and one-click sign-ups. Members update it themselves from My memberships > Update card - a Stripe card form inside the widget (no redirect, 3-D Secure handled in the form). The new card replaces the old for all memberships; nothing is charged at the time. Staff can see the card on file (brand, last four, expiry, or "No card on file") on the member page but cannot change it. Updating the card does not restart a membership that already ended after a failed payment. The payment reminder (2 days before), confirmation and card-expiring emails link to the form; the [membershipUpdateCardUrl] tag can be added to any membership email. On the 10th of each month, members whose card expires that month receive a "card expiring" email (once per card; can be customised or disabled). --- ### Managing products (https://heybookme.app/support/products/) Products let you sell things alongside your classes - one-to-one sessions, workshops, merchandise, gift vouchers, digital guides, and anything else clients might want to buy. They appear on your booking page and customers pay via Stripe at checkout, just like a class booking. A connected Stripe account is required. **Creating a product:** Go to Products > Products > Add product. Set a name, optional description (rich text), optional image, price, optional categories, and an optional purchase end date. On PAYG, products have a £1 minimum price; no minimum on Pro. The product appears on your booking page immediately. Edit or remove products at any time; changes affect future sales only, not existing purchases. **Viewing purchases:** Customer purchases > Products lists who bought what, with the customer each purchase belongs to. **Advanced product features (Pro only):** An Advanced section adds three options: - **Post-purchase information** - content shown immediately after purchase and included in the confirmation email (instructions, welcome message, discount code, meeting link, etc.). - **Downloadable files** - attach files customers download after purchasing (PDF, DOC(X), XLS(X), images; up to 5MB per file, 5 files per product). Set how long downloads stay available from the purchase date; links stop working after that period. - **Private products** - hide a product from your booking page so it's only reachable via its direct URL. Ideal for special offers to select customers or specific channels (mailing lists, social campaigns). Marked with a padlock icon in the product list. Pro also supports free products (no payment details required at checkout). Free products are not available on PAYG. --- ### Passes (https://heybookme.app/support/passes/) — Pro only Two pass types: - **Class passes** - fixed number of classes (e.g. 5-class pack). Each booking uses one class regardless of session price. - **Credit passes** - a balance of credit (e.g. £100) reduced per booking by the session price. **Creating a pass:** Go to Promotions > Passes > Add pass. Set name, description, price, pass type, value (class count or credit amount), validity period (days from purchase), optional sale end date, optional once-per-customer limit, and which classes it applies to (all or specific classes/schedules). Passes appear on the booking page immediately. End a pass with "End now" or by setting an end date; existing purchases remain valid. Changes to a pass affect all existing purchases - usually better to end the old pass and create a new one. A pass is a one-off purchase; for recurring automatic billing see memberships. Both can be offered side by side. --- ### Memberships (https://heybookme.app/support/memberships/) — Pro only Membership plans bill clients automatically every week, fortnight, 4 weeks or month and are applied to their class bookings automatically. Payments are ordinary card payments through the organisation's own Stripe account - no extra subscription-billing fees. **Membership types** (independent of billing frequency and duration): - **Unlimited** - any number of eligible bookings while active (e.g. "Unlimited yoga, £60 a month"). - **Number of classes** - a fixed count per period; the allowance resets per day, week, fortnight or month, or once per billing period - as often as the organisation likes but never less often than the plan is billed (e.g. "2 classes a week, billed monthly"; "per month" is not allowed on weekly, fortnightly or 4-weekly plans). - **Credit** - a credit balance each billing period spent against class prices; partial coverage is possible, with the remainder paid by pass or card (e.g. "£40 of classes each month for £30"). - **Membership only** - a paid membership with no class bookings included; never reduces a booking's price (e.g. "Club membership, £10 a month"). **Allowance rules:** allowances reset each period and do not roll over. A membership only covers classes that start inside the current paid-for period - classes after the next payment date unlock once that payment is taken (members can book them with a pass or card meanwhile). Allowance periods are counted from the day the member joined, not the calendar (join on the 20th with "per month" and periods run 20th to 20th; join on a Thursday with "per week" and periods run Thursday to Thursday), measured in the organisation's timezone. Allowance periods do not restart when a payment is taken - a weekly allowance on a monthly plan rolls straight through the payment date. When a membership ends part-way through an allowance period the final period keeps its full allowance (no pro-rating). Members see the current period's dates, classes remaining and next payment date under My memberships. Usage is counted by class date, not booking date. **Creating a plan:** Promotions > Memberships > Add membership plan. Set name and description (shown on the booking page), optional logo (JPEG/PNG/GIF/WebP, 5MB), price and optional tax rate, billing frequency (weekly, fortnightly, 4-weekly or monthly), optional duration (number of payments, up to two years) and renewal email lead time (default 7 days, at most half the term), membership type and value, allowance reset period (number-of-classes plans), which classes it applies to (all or specific classes/schedules/categories), private flag, and optional end date. Unlimited number of plans. Once a plan has a member, billing frequency, duration, membership type, class count, credit value and reset period are locked; name, description, logo, price, renewal email timing, tax rate, restrictions, privacy and end date stay editable. **Client sign-up:** from the Memberships tab on the hosted booking page or embedded widget (shown when a public plan exists). Client views the plan, clicks Join, verifies email, confirms (the confirmation shows what's charged and when, and any fixed term), optionally enters a discount code, then pays. First membership: Stripe Checkout takes payment and saves the card in one step (opens in the top-level window, not inside the embedded frame). Clients with a saved card can use it and complete instantly, or enter a new card. Confirmation email to the client; "New membership" email to the organisation. **Discount codes:** can be restricted to all memberships or specific plans. Discount applies to the first payment only; later payments are full price. A 100% code still saves a card so the next payment can be charged - useful for "first month free". **Booking coverage:** membership is applied first, then any pass, then card. A member with several memberships uses unlimited first, then number of classes, then credit (oldest first within each). Membership-only plans never cover bookings. Fully covered bookings skip payment. A class is covered if it matches the plan's restrictions, starts inside the current paid period, and allowance/credit remains. Cancelling a covered booking returns the allowance. Usage history is visible to the organisation and to the member under My memberships. **Price changes:** by default only new sign-ups are affected. To apply to existing members, tick "Apply to existing memberships" and set a notice period of at least 30 days; the new price applies from each member's first payment on or after the effective date. Renewing a fixed term does not change the price. Members are emailed and see the pending price. Per-member price changes can be scheduled from the member page. Setting the pending price back to the current price cancels the change. **Private plans:** hidden from the Memberships tab; reachable only via a direct link shown in the dashboard. **Ending a plan:** Use "End now" or set an end date; plans can be reactivated. Choose "Block new sign-ups; existing memberships carry on" (default) or "Block new sign-ups and end existing memberships" (open-ended memberships end at their first payment date on or after the end date; fixed-term memberships at the first end of a term on or after it; members are emailed with a link to other plans). **Downgrading from Pro:** memberships stop being charged and end at the close of the paid period; bookings stay covered until then; members are emailed. Existing memberships remain viewable and cancellable. Re-upgrading allows new sign-ups but ended memberships stay ended. --- ### Discount codes (https://heybookme.app/support/discount-codes/) — Pro only Discount codes give clients a percentage or fixed-amount reduction at checkout. Applied automatically when entered; only one code per transaction. **Creating a code:** Go to Promotions > Discount codes > Add discount code. Set the code string (case-insensitive), description (internal only), discount type (percentage or fixed), value, start/end dates, optional usage limit, and what it applies to (all classes and passes, just classes, just passes, or specific items). Codes are active immediately. Disable with "End now". Fixed-amount discounts are capped at the order total (minimum £0). Discount codes can be combined with passes - discount applies first, then pass covers the remaining balance. Codes can also apply to membership sign-ups (all memberships or specific plans): the discount applies to the first payment only, later payments are full price, and a 100% code still collects a card. **Tip:** A 100% code with a per-customer limit of 1, restricted to class bookings (not passes), works as a "first class free" offer. --- ### Managing emails (https://heybookme.app/support/managing-emails/) HeyBookMe sends automated emails to clients at key moments. All emails carry your branding. View and preview all email types under Settings > Emails. **Customer emails sent automatically:** - Booking confirmation (on booking) - Admin booking confirmation (when you create a booking on their behalf) - Booking moved (when client moves a booking) - Cancellation of booking - Class reminder (configurable timing - see class reminders) - Pass confirmation (on pass purchase, includes balance and expiry) - Pass usage (when a pass is used for a booking) - Pass usage credited (when a pass-paid booking is cancelled and credit returned) - Membership confirmation (on sign-up; cannot be disabled) - Membership payment reminder (2 days before each payment, includes update-card link; cannot be disabled) - Membership payment receipt (after each successful payment) - Membership payment failed (payment failed and membership ended, includes restart link; cannot be disabled) - Membership card expiring (10th of the month if the saved card expires that month; can be disabled) - Membership price change (when a price change is scheduled; cannot be disabled) - Membership ending soon (fixed term, at the renewal email lead time, one-click renew link) - Membership renewal confirmation (fixed term renewed by member or staff) - Membership expired (fixed term ended without renewal; cannot be disabled) - Membership renewing soon (automatically renewing fixed term, opt-out link; cannot be disabled) - Membership renewed automatically (new term started and first payment succeeded) - Membership automatic renewal turned off / turned back on (cannot be disabled) - Membership cancellation (member or organisation cancels; lists remaining payments on a fixed term) - Membership plan ended (plan closed and its memberships ended; cannot be disabled) - Rebooking reminder (see rebooking reminders) - Waiting list place available **Emails you receive (Pro - configurable):** Booking received, booking move received, cancelled booking, customer registered, pass purchased, new membership, cancelled membership, renewed membership, member turned off / turned back on automatic renewal, waiting list joined. **Customising emails (Pro only):** Edit subject line and body for any email at Settings > Emails > Edit. Use dynamic tags for personalisation (client name, class name, booking date, etc.). Preview by sending a test to yourself. Reset to default at any time. Emails display your organisation name as sender; the reply-to address is your contact email from organisation settings. --- ### Class reminders (https://heybookme.app/support/class-reminders/) Pre-class reminder emails sent automatically to all booked clients before each session. Reduce no-shows. Sent for all bookings regardless of whether created by the client or manually by you. **Configure timing:** Settings > Organisation settings > Class reminder email. Options: 1 hour, 2 hours, 4 hours, or 1 day before. Or Disabled. Default is 1 hour. The reminder includes class name, scheduled time, and location. Content is customisable on the Pro plan (see managing emails). --- ### Rebooking reminders (https://heybookme.app/support/rebooking-reminders/) Automated emails sent to clients a set time after they attend a class, if they haven't already booked another session. Triggered from the class session date, not the booking date. **Configure per class:** Class Management > Classes > edit the class. Toggle the reminder on, set the delay (2 hours, 8 hours, 1 day, or 2 days), and optionally select additional classes to suggest in the email. The email includes a friendly message and details of upcoming sessions for the class attended plus any additional classes you selected. Clients can unsubscribe via a link in the email. No reminder is sent if the client has an upcoming booking at send time, or if they cancelled before the session. Content is customisable on the Pro plan. --- ### Hosted page & embedding (https://heybookme.app/support/booking-site/) Every account includes a hosted booking page at `heybookme.app/[your-slug]`. Share the URL from Settings > Organisation settings > Website. The page shows your business name, logo, brand colours, timetable, passes, and client account management. Live from the moment you create your first class. **Embedding in your own website:** Copy the embed code from Settings > Organisation settings > Website and add it to your site. The widget uses your brand colours and logo. A live preview is available in settings before saving. --- ### Customer data fields (https://heybookme.app/support/customer-data-fields/) Controls which fields are collected from customers at signup and booking. Found at Settings > Organisation settings > Customer data tab. Email and First name are always active and required. Optional additional fields: Last name, Phone number, Address line 1, Address line 2, City, Postcode. Each can be set as required or optional once added. Drag to reorder fields; click Save changes to apply. Removing a field stops collecting it going forward but does not delete existing data. Adding a required field that customers haven't filled in prompts them to complete it on their next booking. --- ### Your profile (https://heybookme.app/support/your-profile/) Personal account settings (separate from organisation settings). Update name, email address, or password at Settings > Your profile. Changing email address requires verification via a link sent to the new address. Forgotten password: use "Forgot password?" on the login page at dash.heybookme.app/login. --- ### Organisation details (https://heybookme.app/support/organisation-details/) Controls how your business appears to clients. Found at Settings > Organisation settings. **General:** Organisation name, contact email (used as reply-to on client emails), class reminder email timing. **Online booking - Appearance:** Square logo or banner image, page background colour, header background colour, primary button colour, secondary button colour, default bookings view (list or calendar). Live preview available. **Online booking - Booking controls:** Booking cut-off (how close to class start clients can book), pending booking hold duration, customer cancellation window (or disable self-cancellation), maximum future booking window. **Customer data:** Controls signup/booking form fields (see customer data fields). **Checkout:** Optional terms & conditions that customers must agree to before purchasing. **Website:** Your hosted booking page URL and embed code (see hosted page & embedding). **Tax:** Define tax rates and assign them to classes and passes. Specify whether prices are tax-inclusive or tax-exclusive. --- ### Managing your team (https://heybookme.app/support/managing-your-team/) — Pro only Give team members (instructors, reception staff, business partners) their own login. Unlimited team members on Pro; single user only on PAYG. **Roles:** - **Owner** - full access including billing and organisation settings. Only the original signup user. - **User** - can manage classes, bookings, passes, discount codes, mark attendance, add bookings. Cannot access billing or organisation settings. **Inviting a member:** Settings > Your team > Invite user. Enter name and email; they receive an invitation link valid for 48 hours. Resend from the same screen if needed. **Removing a member:** Settings > Team > Remove. Access revoked immediately; their historical data is retained. Class leaders (set per class) allow team members to filter their dashboard view to their own classes. --- ### Connecting Stripe (https://heybookme.app/support/connecting-stripe/) Required to accept card payments. HeyBookMe uses Stripe for all payment processing. Go to Settings > Stripe settings > Connect with Stripe, then complete Stripe's onboarding (business details, bank account, identity verification - typically 5–15 minutes). HeyBookMe never sees your banking or identity information. Once connected, your payment settings page shows "Connected". Clients pay at booking; funds are held by Stripe and paid out to your bank on your payout schedule (daily or weekly, set in your Stripe dashboard). HeyBookMe never holds your money. Clients do not need a Stripe account. Accepted: all major debit and credit cards, Apple Pay and Google Pay (device/browser dependent). **Stripe fees (separate from HeyBookMe):** 1.5% + 20p for UK cards, 2.5% + 20p for international cards (check stripe.com/gb/pricing for current rates). **Disconnecting:** Settings > Payments > Disconnect. Pending payouts from Stripe still process normally. --- ### Managing your subscription (https://heybookme.app/support/managing-subscription/) Manage billing entirely from Organisation Settings > Your subscription. No lock-in; Pro is monthly. **Upgrading to Pro:** Your subscription > Upgrade now > select plan > provide payment via Stripe. Pro features available immediately. **Pro trial:** 14 days, no card required to start. Users are prompted to add a card during the trial; if they do, it is billed when the trial ends. If no card is added, the account is downgraded to PAYG at the end of the trial. **Updating payment method:** Your subscription > Manage billing > update in Stripe. **Downgrading to PAYG:** Your subscription > Downgrade to Pay As You Go. Pro access continues until end of current billing period, then reverts to PAYG. No data is lost. If you sell memberships, downgrading stops them being charged: each ends at the close of the member's paid period, bookings stay covered until then, and members are emailed. The downgrade screen shows how many active memberships are affected. **Cancelling:** Your subscription > Cancel account. Pro access continues until end of billing period. No prorated refunds for partial months. If payment fails, retries are automatic over several days; account downgrades to PAYG if payment continues to fail. --- ### Platform fees (https://heybookme.app/support/platform-fees/) PAYG plan only. A percentage of each transaction value is deducted as a platform fee before Stripe pays out. No platform fees on Pro. **Fee calculation:** transaction value × fee % rate. Minimum and maximum fees apply per plan. PAYG rate: 1% fee, £0.10 min, £1.00 max. Examples: £8 booking → £0.10 (minimum applies); £18 booking → £0.18; £110 booking → £1.00 (maximum applies). Current fee rates are shown in Settings > Your subscription. Monthly invoice sent on the 1st of each month; mid-month view at Reports > Platform fees. Fees are deducted from what you receive - they cannot be passed on to clients as a surcharge. **Platform fee vs Stripe fee:** Platform fee is HeyBookMe's (PAYG only); Stripe's transaction fee (1.5% + 20p for UK cards) applies on all plans and is separate.
