Overview
If you run your studio with other people - a receptionist, a fellow instructor, a business partner - you can give them their own login to HeyBookMe. Each team member gets a separate account with a role that defines what they can access.
Roles
There are two team member roles:
- Owner - full access to everything, including billing, organisation settings, and all customer data. Only the original user that signed up has this access.
- User - can view and manage classes, bookings, discount codes and passes, mark attendance, and add bookings. Cannot access organisation billing, or organisation settings. Suitable for instructors or reception staff.
Inviting a team member

Go to Settings > Your team.

Click "Invite user".

Enter their name and email address.

Click "Send invitation". They'll receive an email with a link to set up their account. The invitation link is valid for 48 hours.
Once they accept and set a password, they'll appear as active in your team list and can log in to the HeyBookMe dashboard.
Resending an invitation
If a team member hasn't received or has lost their invitation email, go to Settings > Your team and click Resend invite next to their name. A fresh link will be sent.
Removing a team member
From Settings > Team, click Remove next to a team member's name. Their access is revoked immediately. Any bookings or changes they made while active are retained in the system.
Tip: When a team member leaves, remove their access promptly. They retain their login credentials until removed, so it's good practice to update this as soon as their involvement with your studio ends.
Common questions
Is there a limit to how many team members I can have?
On the PAYG plan you can only have a single user. On the Pro plan you have unlimited team members.
Can a team member have their own separate set of classes?
Yes. If you add class leaders then those users can filter their view of the dashboard to show only the classes that they are leading.
