Managing Organisation Details

Overview

Your organisation settings control how your business appears to clients - on your booking page, in automated emails, and in any receipts or confirmations. Getting these right is one of the first things to do when you set up HeyBookMe.

Accessing organisation settings

Go to Settings > Organisation settings. You'll find all the settings from each tab described below.

General

  • Organisation name - appears on your booking page header, in automated emails, and on booking confirmations. Use your studio's trading name.
  • Contact email - the email address used as a a reply address on client emails, and the address we'll use to contact you on. Make sure this is deliverable.
  • Class reminder emails - how long before a class we should send reminder emails to attendees. You can disable this here if not required.

Online booking

Appearance

The settings here are used to brand your hosted booking site, the embedded widget and emails that we send to your customers on your behalf. You can check how they will look using the live preview shown to the right of the settings.

  • Square logo - appears on your booking page header, in automated emails, and on booking confirmations. You can choose this or a wide banner-type logo.
  • Banner image - appears on your booking page header, in automated emails, and on booking confirmations. You can choose this or a wide banner-type logo.
  • Page background - the colour to use for the page background on your booking site, in your embedded booking widget, and in emails to clients.
  • Header background - the colour to use for the header background on your booking site, in your embedded booking widget, and in emails to clients.
  • Primary button - the colour to use for the primary actions on your booking site, in your embedded booking widget, and in emails to clients. We'll automatically select a contrast colour for the button text.
  • Secondary button - the colour to use for the secondary actions on your booking site, in your embedded booking widget, and in emails to clients. We'll automatically select a contrast colour for the button text.
  • Default bookings view - whether the booking widget defaults to list, or calendar view.

Booking controls

These settings control how the system behaves. Use them to set the rules you want for bookings, and cancellations.

  • Booking cut-off - use this if you want to block customers booking at the very last minute. If you don't want a cut-off, choose "at class start time".
  • Pending booking hold - as soon as a customer hits starts the booking process we hold a place for them. This settings controls how long they have to complete their order before their place will be released to other customers.
  • Customer cancellation window - the latest the customer can cancel their booking. Choose Customer cancellation unavailable if you do not want to allow customers to cancel online.
  • Maximum future booking - how far in advance class schedules will be published for booking. Customers won't see classes online further ahead than this.

Customer data

Controls what information you capture from customers at the point of purchase. For information about this see the dedicated customer data fields page.

Checkout

Use this page to provide terms & conditions that your customers must agree to before making a purchase. If you provide terms here then customers will have to agree to them to complete a purchase.

Website

Provides your hosted booking page URL, and instructions for embedding the booking widget on your own website. For more information see the booking site article.

Tax

If you need to charge tax on purchases then you can set up tax rates here. You can defined multiple tax rates as required, and then for each class / pass choose which tax rate applies to that product.

If you set up a tax rate then you must also tell us if the prices you've entered for classes & passes already include the tax, or if the tax should be added on top.

Common questions

Will changing my business name affect existing bookings?

Existing booking confirmations already sent to clients won't be updated. Going forward, all new emails and your booking page will use the new name.

Can I have more than one booking page?

Each HeyBookMe account has one booking page associated with it. If you need separate booking pages - for example for distinct brands - you'd need a separate HeyBookMe account for each.
